Client Text Messaging Privacy Policy

About this policy

This policy applies to the CaseBase Client Text Messaging program operated by String Inc. for individual client users of participating agencies. It supplements our Client Privacy Policy and controls if that policy conflicts with the SMS-specific protections below.

Information we collect and use

We use your agency-maintained mobile number and account and agency identifiers. We store your current consent choice and the time it last changed separately for messaging and notifications on your user account. When messaging is available, we also process messages and delivery information.

We use this information to operate the program, deliver requested communications, process replies and opt-outs, provide support, protect against misuse, and document consent.

Mobile information and consent are not sold

We do not sell, rent, or share mobile numbers, SMS opt-in information, or consent records with third parties or affiliates for marketing or promotional purposes. We do not transfer your SMS consent to another organization for its own messaging program.

Service providers, including messaging providers and carriers, may process information needed to operate and deliver this program. Authorized staff of your participating agency may access your communications and related delivery information. We may disclose information when required by law.

Security and retention

We use access controls and safeguards for information held in CaseBase. SMS itself is not end-to-end encrypted and travels through mobile networks outside CaseBase. Protect your device and use the authenticated application for sensitive information.

We retain information as needed to operate the program, document consent and withdrawal, maintain agency records, and meet applicable legal and contractual requirements. Opting out stops program texts; it does not automatically delete existing records.

Your choices and contact

Messaging and notification consent are independent and optional. Neither affects your access to CaseBase. You can turn off either category in your settings. Reply STOP to cancel texts from the sending number or messaging service, which may stop both categories. Use your text message settings, or contact support@casebase.co. Reply HELP for help. Contact a staff member to update your number. Contact us to make a privacy request. Requests are handled subject to applicable law and agency recordkeeping requirements.

Policy changes

Updates will be posted here with a new effective date. An update does not renew withdrawn consent or authorize a new messaging purpose without the consent required for that purpose.
